New Validations – Causes of errors in record keeping and its remedies
There are majorly 3 scenarios where there are grave issues of record keeping. They are listed below :-
1. Ahwal-1 difference is greater than 0.01 Hectors or 10 R
2. Confirmation of survey numbers greater than 20 Hectors or 99 R
3. Area – Unit Mismatch
1. Ahwal-1 difference is greater than 0.01 Hectors or 10 R
Background Information : In manual system, in many places, there was a practice to keep the 7/12
record in different units like square meters, acres, gunthas etc. In most places, during
implementation of LMIS, the acres and gunthas unit was converted to hectors or square meters. So
on many 7/12s, there is record maintained by using square meters as unit. However, in eFerfar,
there is no such unit as square meters. So, one has to convert the unit to either Hectors i.e. Hector-
R-Square Meters or to R i.e. R-Square Meters. So some mistakes have happened during this
conversion. Since we are converting from Square Meters to either Hectors or R, then we have also
to convert the Area accordingly which was not done in many places.
The Unit Table is given for your understanding
Hector R (Ares) Square Meters
1 Hector 100 R 10000 Square Meters
1 R 100 Square Meters
Given below are the scenarios where these mistakes have happened.
Scenario-1 : Manual 7/12 is in Square Meters and while record keeping in eFerfar, the unit is
changed to Hectors and the area is changed for VF VII part as per Hectors but not changed for land
owners as per Hectors
This discrepancy could have happened due to fact that
1) Manual 7/12 was in square meters as unit. There is no provision in eFerfar to store area in
square meters directly.
Ex . Manual 7/12
Area on Village Form (VF) VII Area of Land Owners
1500 sq.meters X - 500 sq.meters
Y - 500 sq.meters
Z - 500 sq.meters
Details : Area on VF VII is corrected but area of land owners not corrected
Ex. Manual 7/12 How maintained In eferfar
Area of VF VII Area of land owners Area of VF VII Area of Owners
1500 sq. meters X - 500 sq.meters 0.15 Hectors X - 500
Y - 500 sq. meters Y - 500
Z – 500 sq. meters Z - 500
Mistake: - Area of owners not changed to 0.05, 0.05, and 0.05 as per unit of conversion (division by
10000 is expected to area of land owners)
Result of Mistake – New Discrepancies :-
Discrepancy 1) This has gone in Ahwal-1with area difference of VF VII and sum total of khatedars > 0.01 hectors
Discrepancy 2) Area of Khatedar is 10000 times greater than area of VF VII
Solution : 1. Take section 155 mutation for Ahwal-1 durusti and correct the area as 0.05, 0.05, 0.05 for
the owners
Scenario-2 : Manual 7/12 is in Square Meters and while record keeping in eFerfar, the unit is changed to
R and the area is changed for VF VII part as per R but not changed for land owners as per R
This discrepancy could have happened due to fact that
1) Manual 7/12 was in square meters as unit. There is no provision in eFerfar to store area in
square meters directly.
Ex . Manual 7/12
Area on Village Form (VF) VII Area of Land Owners
1500 sq.meters X - 500 sq.meters
Y - 500 sq.meters
Z - 500 sq.meters
When mistake could be made in record keeping in eferfar.
Details : Area on VF VII is corrected but area of land owners not corrected
Ex. Manual 7/12 How maintained In eferfar
Area of VF VII Area of land owners Area of VF VII Area of Owners
1500 sq. meters X - 500 sq.meters 15 R X - 500
Y - 500 sq. meters Y - 500
Z – 500 sq. meters Z - 500
Mistake: - Area of owners not changed to 5, 5, and 5 as per unit of conversion (division by 100 is
expected to area of land owners)
Result of Mistake – New Discrepancies :-
Discrepancy 1) This has gone in Ahwal-1with area difference of VF VII and sum total of khatedars > 10 R
Discrepancy 2) Area of Khatedar is 100 times greater than area of VF VII
Solution : 1. Take section 155 mutation for Ahwal-1 durusti and correct the area as 5, 5, 5 for the
owners
2. Confirmation of survey numbers greater than 20 Hectors or 99 R
Scenario-1 : Manual 7/12 is in Square Meters and while record keeping in eFerfar, only the unit is
changed to Hectors but the area is not changed for both VF VII and against the land owner names as
per the selected unit
This discrepancy could have happened due to fact that
Manual 7/12 was in square meters as unit. There is no provision in eFerfar to store area in
square meters directly.
Ex . Manual 7/12
Area on Village Form (VF) VII Area of Land Owners

Details : Area on VF VII and land owners not corrected
Ex. Manual 7/12 How maintained In eferfar

Y - 500 sq. meters Y - 500
Z – 500 sq. meters Z - 500
Mistake: - Area of VF VII and land owners not changed to 0.15 for VF VII and 0.05, 0.05, and 0.05 for x, y,
z as per unit of conversion (division by 10000 is expected to area of VF VII and land owners)
Result of Mistake – New Discrepancies :-
Discrepancy 1) Area of VF VII has become > 20 Hectors
Solution : 1. Take section 155 mutation for Area Correction and correct the area as to 0.15 for VF VII
and 0.05, 0.05, and 0.05 for x, y, z i.e the owners
Scenario-2 Manual 7/12 is in Square Meters and while record keeping in eFerfar, only the unit is
changed to R but the area is not changed for both VF VII and against the land owner names as per the
selected unit
This discrepancy could have happened due to fact that
1) Manual 7/12 was in square meters as unit. There is no provision in eFerfar to store area in
square meters directly.
Ex . Manual 7/12
Area on Village Form (VF) VII Area of Land Owners
1500 sq.meters X - 500 sq.meters
Y - 500 sq.meters
Z - 500 sq.meters
Details : Area on VF VII and that of land owners not corrected
Ex. Manual 7/12 How maintained In eferfar
Area of VF VII Area of land owners Area of VF VII Area of Owners
1500 sq. meters X - 500 sq.meters 1500 R X - 500
Y - 500 sq. meters Y - 500
Z – 500 sq. meters Z - 500
Mistake: - Area of VF VII and land owners not changed to 15 for VF VII and 5, 5, and 5 for x, y, z as per
unit of conversion (division by 100 is expected to area of VF VII and land owners)
Result of Mistake – New Discrepancies :-
Discrepancy 1) Area of VF VII has become > 99 R
Solution : 1. Take section 155 mutation for Area Correction and correct the area as to 15 for VF VII and
5, 5, and 5 for x, y, z i.e the owners
3. Area – Unit Mismatch
These discrepancies have happened due to incorrect assignment of unit. For agriculture
7/12 – he unit should be Hectors but for some records it is R. This is the discrepancy and
need to correct by assigning the correct unit Hectors. Conversly, the 7/12 is NA but unit is
recorded as Hectors. Here, the correct unit should be R. Both these discrepancies on such
survey numbers should be corrected by using the Section-155 unit correction mutation
Example :-
Type of VF VII/XII Unit recorded Correction Remarks
Agriculture R (Incorrect unit) Hectors
(correct unit)
Unit changed to Hectors for
Agriculture 7/12 from R
Non Agriculture (NA) Hectors
(Incorrect unit)
R (correct unit) Unit changed to R for NA
7/12 from Hectors
